Direct booking page: bookings without commission
Publish your own booking link on your website and social profiles. Guests send a request, your front desk turns it into a booking and sends the payment page. Phone and WhatsApp bookings are entered by hand as before.
Bookings that come straight to you cost no commission. Every organization gets its own Direct booking page at https://book.baanhost.com/<link-name>: guests pick their dates, see which room types are free and what the stay costs, and send you a booking request. Guests who call or message you are entered by hand, see step 7.
1. Open the settings
In the app go to More → Direct booking page; in the web workstation go to Settings → Direct booking page. The first time you open it, BaanHost suggests a link name based on your organization's name. The page stays off until you turn it on, so you can prepare everything first.
2. Choose the link name
- Type it in Link name: lowercase letters, digits and hyphens, 3–40 characters. Your property name usually works best, for example sunset-villas.
- BaanHost checks as you type and tells you whether the name is free, reserved or already used by another business.
- Save. The full link is shown below the field: https://book.baanhost.com/<link-name>.
3. Add an introduction and photos
- Introduction: shown at the top of the page: what makes your place special, the location, house notes. Write it in one language; guests see your text as written, while the page's buttons and labels appear in the guest's own language (eleven languages).
- Under Communities and room types, give each community a Community description and a Cover photo. Turn on Hide on booking page for a community you don't want on the page, for example one for long stays only.
- Give each room type a Photo and a Description. Units without a room type are listed one by one and get their own photo and description.
- Photos can be JPEG, PNG or WebP. Upload, replace or remove them at any time.
4. Turn it on
- Switch on Publish booking page.
- BaanHost asks you to confirm: once the page is live, anyone with the link can see your room types, photos, rates and contact details (phone, WhatsApp, email) and send a booking request. Tap Publish.
- Tap Preview to see the page the way guests see it.
Contact details come from the community (its phone and the WhatsApp and email in its payment settings) and otherwise from your organization. You can switch the page off at any time; the link then shows "page not found". While your subscription is read-only the page still shows, but new requests are paused.
5. Share the link and the QR code
- Tap Copy link or Share and put the link on your website (a "Book now" button or menu item), in the link field of your Facebook page and Instagram profile, and as the website or booking link in your Google Business Profile.
- Tap QR code to download the code or save it as an image. Print it for the front desk, the rooms, flyers or business cards.
- Your web designer can also embed the page in your own website.
6. Handle the booking requests
- On the page the guest chooses the community (if you have several), the dates and the number of guests, sees the available room types with the total price (seasonal and weekend rates and long-stay discounts included), then enters their name, phone (WhatsApp optional), email, country and a note.
- The request arrives in Booking requests (under More in the app, under Settings on the web) and you get a push notification. The first line of the note shows the room type, a suggested unit and the quoted price. A request does not block the room yet.
- Tap Convert to booking. BaanHost creates a pending booking at the quoted price (you can change it) and holds the room for 24 hours on the tape chart and on your connected channels. The guest automatically receives an email with the payment page link.
- When the deposit arrives, confirm it as in step 8 and the booking is confirmed. If nobody confirms it in time, the hold is released automatically.
Not a fit? Tap Dismiss.
7. Bookings by phone, WhatsApp or LINE
- Open Stays → New booking, or tap an empty cell on the Tape Chart (press and drag along the row to select several nights).
- Choose the unit, the guest and the dates.
- Set the Source to where the guest came from: Direct, Phone, WhatsApp, LINE, Facebook or Referral. Your reports then show how many bookings you get without a channel.
- Enter the rate and the deposit, then tap Create.
Guest still deciding? Turn on Pending (no room hold). The booking is noted but the room stays on sale. When the guest commits, open the booking and tap Confirm booking.
8. Collect the deposit
- Open the booking and tap Payment page link, then Copy or Share to send it in your chat with the guest.
- The guest sees the amount due and your payment methods (bank transfer, PromptPay QR, payment links or card through Omise) and taps "I've paid" after paying.
- You get a notification. Check that the money has arrived, open the booking and tap Confirm received. For a pending booking, leave Also confirm the booking ticked: the payment is recorded and the booking confirmed in one step.

9. Let reminders do the rest
Turn on Deposit reminder and Pre-arrival guide under More → Automatic reminders. Guests who still owe the deposit get the payment link again, and every guest gets your arrival guide before check-in. See Automatic reminders and message templates.
